Payment Reminder Messages in Hindi and English for Distributors

Polite, ready-to-copy WhatsApp reminders for dues in Hindi, Hinglish and English — sorted by how late the payment is, with a thank-you for when it comes.

By Ashutosh Dubey8 min read

Asking for money is the part of distribution nobody enjoys. Clear, polite payment reminder messages in Hindi or English — sent on the right day, with the amount and how to pay — get most dues paid without a phone call. Below are ready-to-copy messages for every stage, in Hindi, Hinglish (Hindi typed in English letters) and English. Change the words in square brackets and send them from your own WhatsApp.

1. Before You Send Payment Reminder Messages in Hindi or English

A reminder only works if the amount in it is right. One wrong figure and the conversation becomes an argument about your accounts instead of a payment.

  • Record every payment the day it comes in, so the amount you ask for is what is really due.
  • Put the exact amount, the bill number and the date in the message — never just "please pay".
  • Add your UPI ID or the way you want to be paid, so paying takes one step.
  • Send a statement with the first reminder, so the customer can check every bill.
  • Pick one day a week for reminders and keep to it. Customers learn the rhythm.

In Billzova Trade, the reminder button on a customer's khata types the amount due into your own WhatsApp, ready to send — and the statement is one tap away as a PDF.

2. Before the Due Date

A friendly heads-up a few days early is the easiest reminder of all: nothing is late yet, so nobody feels chased.

Hinglish

  • Namaste [Name] ji, [Business] se reminder: bill no. [number] ke ₹[amount] [date] tak due hain.
Statement bhej rahe hain, kuch galat lage to bataiye.

English

  • Hello [Name], your payment of ₹[amount] is due on [date]. Your statement is attached — please tell us if anything doesn't match.
  • Dear [Name], just a heads-up that ₹[amount] falls due this [day]. Paying on time keeps your next deliveries coming without a pause. Thank you for your business!

3. On the Due Date

Keep it short and make paying easy. Many customers simply forget, and a one-line message on the day is all they need.

Hinglish

  • Namaste [Name] ji, aaj bill no. [number] ke ₹[amount] ki last date hai.
Payment kar diya ho to UPI reference bhej dijiye, hum khata update kar denge.

English

  • Namaste [Name] ji, today is the due date for ₹[amount] (bill no. [number]). Please pay by UPI to [UPI ID] or hand it to our delivery staff. Thank you!
  • Hello [Name], ₹[amount] is due today. If you have already paid, please share the UPI reference so we can update your account.
  • Dear [Name], a reminder that today is the last day for bill no. [number], ₹[amount]. Thank you for paying on time.

4. When the Payment Is Overdue

A week or two late, stay polite but be specific: how much, since when, and what you would like to happen next. Leave room for the customer to tell you about a problem — a wrong rate or a short delivery is often the real reason a bill sits unpaid.

Hindi

UPI: [UPI ID]।

Hinglish

  • Namaste [Name] ji, bill no. [number] ke ₹[amount] ki date [days] din pehle nikal gayi. Is hafte clear kar dijiye. UPI: [UPI ID].
  • [Name] ji, aapke khate mein [date] se ₹[amount] baaki hain. Kisi bill mein dikkat ho to bataiye, mil kar suljha lenge.

English

  • Namaste [Name] ji, ₹[amount] from bill no. [number] is now [days] days past its due date. Could you please clear it this week? UPI: [UPI ID].
  • Hello [Name], our records show ₹[amount] outstanding since [date]. If there is a problem with any bill, tell us and we will sort it out together.
  • Dear [Name], a gentle reminder that ₹[amount] is overdue. Please let us know by when we can expect it, so we can plan your next deliveries.

5. Long Overdue: the Final Reminder

When dues have been sitting for a month or more, say clearly what happens next — usually that new orders wait until the balance comes down — and offer a way out, like paying in parts. A customer who can see a path usually takes it.

Hinglish

  • Namaste [Name] ji, [date] se ₹[amount] baaki hain. Payment hone tak naye order rokne pad rahe hain. Aaj phone kar lijiye, koi raasta nikaalte hain.
  • [Name] ji, ₹[amount] ke liye yeh last reminder hai. [date] tak payment kar dijiye ya kishton mein dene ke liye baat kar lijiye.

English

  • Namaste [Name] ji, ₹[amount] has been due since [date]. We have had to put new orders on hold until it is cleared. Please call us today so we can find a way.
  • Dear [Name], this is a final reminder for ₹[amount], outstanding since [date]. Please pay by [date], or call us to agree a plan to pay in parts.
  • Hello [Name], we value working with you. To keep supplying you, we need ₹[amount] cleared — even a part payment this week would help.

Never threaten, never post about someone's dues in a group, and never add charges you didn't agree at the start. If a customer still won't pay after a final reminder, talk to them in person; for legal steps, speak to a lawyer.

6. When the Payment Comes

Always close the loop. A thank-you with the new balance builds trust and stops the "I already paid" argument before it starts.

English

  • Thank you, [Name] ji — ₹[amount] received on [date]. Your balance is now ₹[balance].
  • Payment received, thank you! Your account is clear.

7. When and How Often to Send

  • Three days before the due date: the friendly heads-up.
  • On the day: one short line.
  • A week late: the specific reminder, with the statement.
  • Every week after that: the same day, the same polite tone — then a phone call if two messages go unanswered.
  • Send in working hours, never late at night, and one message at a time rather than a string of them.

Conclusion

Most customers who pay late aren't refusing to pay — they forgot, or something on a bill is wrong. A correct amount, a polite message on a fixed day and an easy way to pay clear most dues without a single argument. Keep the khata right, and let the messages do the chasing.
