Privacy policy
Last updated 28 October 2026
This policy explains what personal data Billzova Trade collects, why, how long we keep it, and the choices you have. It covers the website at trade.billzova.com, the supplier app, the customer ordering link and the staff app.
Who we are
Billzova Trade is provided by Billzova, a trade name of AD Enterprises, Lucknow, Uttar Pradesh, India (“Billzova”, “we”). Billzova Trade is a separate product from Billzova POS, with its own database; we do not share Billzova Trade data with Billzova POS. Questions about this policy: info@billzova.com.
Two kinds of data
- Supplier accounts. When a business signs up, we are responsible for the account data: the business’s details and the logins of its owner and staff.
- Business records. Suppliers put in data about their own customers — names, phone numbers, addresses, GSTINs, orders, invoices, payments and dues. We keep and process this on the supplier’s behalf, to provide the service; the supplier decides what goes in and why.
What we collect
- Account details: business name, GSTIN, state and address; the name, mobile number and email of each person with a login. Passwords are stored only as a secure hash.
- Business records: whatever the supplier and its staff enter, as described above.
- Customer ordering link: the mobile number a customer signs in with, and the orders they place.
- Website forms: the name, mobile number, email, business details and message you send from the pilot or contact form.
- Technical data: IP address, browser or device details and the time of sign-ins and important actions, kept for security and to keep a record of changes.
Cookies
We use only the cookies needed to keep you signed in, to keep your session secure and to remember your language. We do not use advertising cookies or third-party tracking.
How we use data
- To provide Billzova Trade: orders, invoices, the khata, reports, messages and sign-in.
- To keep accounts secure, prevent misuse and keep a record of changes.
- To reply to messages, support suppliers and run the pilot.
- To bill suppliers for their plan and meet our tax and legal duties.
- To improve Billzova Trade, using information about how features are used.
We do not sell personal data, use it for advertising, or show one supplier’s customers or prices to another supplier.
Who we share it with
Only the service providers we need to run Billzova Trade, and only what they need:
- Hosting and backup providers that store the service and its encrypted backups.
- WhatsApp (Meta) for messages and sign-in codes, once WhatsApp messages are switched on.
- An email provider for the emails we send: invoices, statements, daily summaries and password resets.
- An AI provider for AI features such as reading a forwarded order, only for the text or photo being read, once those features are switched on.
We may also share data when the law requires it, or to protect our users and the service.
How long we keep it
- Account details: while the account is open, and as long as needed afterwards for legal and tax reasons.
- Invoices, the ledger and the record of changes: 72 months after the due date of the annual GST return for the year they belong to, as GST law requires — even if the account closes.
- Website messages: as long as needed to reply and follow up, and no longer than 24 months.
How we protect it
Each supplier’s data is kept apart by the database itself, connections use HTTPS, passwords are hashed, and the database is backed up and encrypted every night. Read more on the security page.
Your choices
You can ask to see, correct, download or delete your personal data, or withdraw a consent you gave, by writing to info@billzova.com. If you are a customer of a supplier that uses Billzova Trade, please contact that supplier first: they decide what is kept about you, and we will help them respond. Records that GST law requires us to keep cannot be deleted before that time.
Grievances
If you are unhappy with how we handle your data, write to our grievance contact at info@billzova.com. We will acknowledge your message and reply as soon as we can.
Children
Billzova Trade is a tool for businesses and is not meant for anyone under 18.
Changes
We will update this page when our practices change, and tell suppliers about important changes before they take effect.
