Sound familiar?
Orders by phone call
You call the company’s salesman with a list, and nobody has a record of what was asked for.
Short deliveries unnoticed
Twenty crates short, and nobody checks the bill against what was ordered.
Vendor bills in a file
What you owe each company lives in a pile of bills and a notebook of payments.
What buying covers
What works today, what is coming soon, and the plans that include each.
Numbered purchase orders
PO/26-27/0001, 0002… for each financial year, with a day to deliver by.
Pro
Last rate filled in
Choose an item and the rate you last paid or ordered at with that vendor fills in.
Pro
The items running low, a tap away
Add every tracked item below its low-stock level in one tap, with how many are in stock.
Pro
GST the vendor’s way
CGST and SGST from a vendor in your state, IGST from another state, none from a vendor without a GSTIN.
Pro
PDF, email or your own WhatsApp
A PURCHASE ORDER PDF, an email to the vendor, or the item list typed into your own WhatsApp.
Pro
The bill from the order
“Goods came — enter the bill” fills the purchase bill from the order. The order then shows what came against each line: short or extra.
Pro
Purchase bills checked
The total on the vendor’s paper is checked against the lines; the same vendor bill can’t be entered twice.
Pro
Stock in at cost
Tracked items go into stock at their rate before GST when the bill is entered.
Pro
What you owe each vendor
Bills and payments per vendor, oldest bill paid first, due after the vendor’s credit days.
Pro
Batches and expiry dates
A batch and expiry on each line of the bill, for items counted by batch. Invoices then sell the earliest expiry first.
Pro
Coming soon: being built now. Planned: after the pilot. Everything without a label works today.
Purchase orders and bills, step by step
- 1
Make the order
The vendor, the items and a day to deliver by — rates fill in.
- 2
Send it
PDF, email or your own WhatsApp.
- 3
Goods come
Open the bill from the order; change what came differently.
- 4
Pay the vendor
Record payments; see what you still owe each one.
Nothing counted before the goods come
A purchase order is a request, so it never touches your stock or what you owe. The vendor’s bill does — once, from the order, and a cancelled bill opens the order again.
- One bill per purchase order
- Short and extra shown per line
- Bills cancelled, never deleted

Questions about purchase orders and bills
Is a purchase order a tax document?
No. It is your request to the vendor. GST is shown so both sides agree the total, but the tax counts only on the vendor’s bill.
What if fewer goods come than ordered?
Enter the bill with what actually came. The purchase order then shows each line’s shortfall, so you can follow it up or order the rest again.
Can I send a purchase order on WhatsApp?
Yes, from your own WhatsApp: the order number, each item and quantity, and the day to deliver by, typed in for you. You can also email the PDF.
Does a purchase order add to stock?
No. Stock goes in when the vendor’s bill is entered, at the rate before GST.
Which plan has purchase orders?
Purchase orders, purchase bills and vendor dues come with the Pro plan.
Is there a blank purchase order format?
Yes — a free purchase order format to download in Excel or print, under Free formats at the foot of every page.
