What a delivery challan must show

  1. The challan number and date. The number is consecutive, unique for the financial year and at most 16 characters — DC/26-27/0001 is 14.
  2. Your name, address and GSTIN as the consigner.
  3. The receiver’s name and address, and their GSTIN or UIN if they are registered.
  4. The HSN code and description of the goods.
  5. The quantity — a provisional quantity where the exact one isn’t known when the goods leave.
  6. The taxable value of the goods.
  7. The tax rate and tax amount (CGST and SGST, or IGST, and any cess) when the goods are moving for supply to the receiver.
  8. The place of supply, when the goods cross a state border.
  9. A signature.

Source: Rule 55(1) of the CGST Rules, 2017. Rule 55(2) asks for three copies: the original for the consignee, the duplicate for the transporter and the triplicate for the consigner. Rules change — check yours with your CA.

When a delivery challan is used

  • Goods sent for job work

Material sent to a job worker and brought back after work is done.

  • Goods sent on approval

Goods sent for the buyer to see before they decide to buy.

  • Moving your own stock

From one godown to another, or to an exhibition — moved, not sold.

  • Liquid gas

Where the exact quantity isn’t known when the goods leave the premises.

  • A signed delivery note

Many distributors also send a challan with the invoice so the receiver signs for what came.

Delivery challan or tax invoice?

  • What it does

    Delivery challan

Goes with goods that are moving

    Tax invoice

Bills the buyer for goods sold

  • GST

    Delivery challan

Shows the tax where the goods move for supply; it isn’t charged on the challan

    Tax invoice

    Charges the tax

  • Customer’s dues

    Delivery challan

Nothing is owed on a challan

    Tax invoice

    The amount is owed

  • Copies

    Delivery challan

    Three: consignee, transporter, consigner

    Tax invoice

Original for the buyer, duplicate for the transporter, triplicate for the supplier

  • In GSTR-1

    Delivery challan

The number of challans issued (documents issued)

    Tax invoice

    Every invoice, as a sale

Filling it in well

  • Keep one series and never skip a number. A spoiled challan is cancelled and kept, not torn out.
  • Write the vehicle number every time the goods go by road.
  • Get the receiver to sign, write their name and the date — that is your proof of delivery.
  • Use the same rates and GST as the invoice will, so the two agree.
  • Above the e-way bill value, an e-way bill goes with the goods too — check the current limit for your state.

Make challans from your orders instead

Billzova Trade turns a confirmed order into a numbered challan in one tap — the goods, value and GST filled in, the vehicle number and the receiver’s signature box, in Hindi or English. The invoice follows from the same order.

Questions about this format

Is a delivery challan the same as an invoice?

No. A challan goes with goods that are moving; a tax invoice bills the buyer. When goods move on a challan for a supply, the tax invoice is made once the supply is settled.

How many copies of a delivery challan do I need?

Three: the original for the consignee, the duplicate for the transporter and the triplicate for you, the consigner (Rule 55(2) of the CGST Rules).

What should the challan number look like?

Consecutive, unique for the financial year, and at most 16 characters (Rule 55). A prefix with the year, like DC/26-27/0001, keeps each year’s series apart.

Is GST charged on a delivery challan?

No. Where goods move for supply, the challan shows the tax rate and amount, but the tax is charged and paid through the tax invoice.

Do I need an e-way bill with a challan?

If the value of the goods is above the e-way bill limit, yes — the e-way bill goes with the goods along with the challan. Check the current limit for your state.

What is a returnable delivery challan?

A challan for goods that will come back — sent for job work or on approval. Write “returnable” on it and keep track of what has come back.

Can I edit this format?

Yes. The Excel file is yours to change: add your logo, columns or terms. The amounts add up by themselves as you type quantities and rates.

Is the format free?

Yes, free to download, print and use, with no sign-up.
